AI and business terms, explained like a human.
AI has its own language. Most of it is designed to make things sound more complicated than they are. Here’s what the terms actually mean — and when they matter for a business like yours. 43 terms and growing.
A
Text messages sent from a business application to a person’s phone. Appointment reminders, review requests, and follow-up sequences are all A2P messages. Carriers require businesses to register for A2P messaging to prevent spam.
Making sure your business shows up when someone asks ChatGPT, Claude, Perplexity, or Google’s AI Overviews for a recommendation. “Best HVAC company in Durango” — is your business in the answer?
AEO focuses on earning citations — being named as a source inside an AI-generated answer. This is different from AI Summaries (see below), where your website content might be summarized or paraphrased without your business being specifically named or recommended.
A citation means the AI said “HighRidge Systems does this.” A summary means the AI pulled information from your page but didn’t necessarily recommend you by name. AEO optimizes for the citation — the direct recommendation.
You’ll also hear the term GEO (Generative Engine Optimization). AEO and GEO overlap significantly. The distinction: AEO emphasizes being the cited answer to a specific question. GEO emphasizes being included when AI engines synthesize information from multiple sources into a longer response. In practice, the same work — structured content, schema markup, entity consistency, and authority signals — drives both. HighRidge treats them as one unified program.
When a search engine or AI assistant reads your website and generates a condensed version of your content at the top of search results — before the traditional blue links. Google calls theirs “AI Overviews.” Perplexity and ChatGPT generate similar summarized responses.
AI Summaries are different from traditional search results in three important ways. First, the user often gets their answer without clicking through to your website — these are called “zero-click searches,” and they now account for roughly 60% of all Google queries. Second, the AI decides what to include and what to leave out, so your carefully written page might be reduced to one sentence. Third, your business might not be named at all — the AI might summarize general information from your site without recommending you specifically.
This is why AEO (Answer Engine Optimization) matters. AEO goes beyond just having your content summarized — it works to get your business cited by name as the recommended answer. Being summarized is visibility. Being cited is a lead.
Monitoring where your business appears — and where it doesn’t — when potential customers ask AI platforms for recommendations. HighRidge tracks visibility across four engines weekly: ChatGPT (OpenAI), Claude (Anthropic), Perplexity AI, and Google AI Overviews / Gemini.
Tracking works by running real prompts that your customers would ask — “best roofer in Durango,” “who handles emergency plumbing near Bayfield,” “HVAC company with good reviews in Cortez” — and recording whether your business is named in the answer. The result is a weekly visibility score and a dashboard showing which prompts you appear in, which competitors appear instead, and what’s changing over time.
Most service businesses are currently invisible in AI search. National networks and franchise operations dominate the answers. AI visibility tracking is the first step toward changing that.
Available as a $149/mo bolt-on to any HighRidge system.

Software that answers your phone, talks to the caller in a natural-sounding voice, and can book appointments, answer questions, or capture lead details. Not a phone tree. Not “press 1.” A conversation.
An automated series of messages — booking confirmation, 24-hour reminder, same-day reminder — that reduce no-shows by 30–60%. The customer confirms or reschedules with one tap.
B
The percentage of callers who hang up before reaching anyone — including those who abandon during hold music, phone trees, or ring cycles. Not the same as miss rate, which only counts calls that went completely unanswered.
C
A messaging tool on your website that answers visitor questions in real time. Better versions are trained on your specific business — your services, your area, your answers — not generic scripts.
Any mention of your business name, address, and phone number on another website. Yelp, BBB, industry directories. Consistent citations across the web tell Google your business is real, established, and where it says it is.
The percentage of leads or inquiries that convert into paying customers. A 30% close rate means 3 out of every 10 leads become jobs. Knowing your close rate turns “we’re busy” into “we’re converting 30% and leaving 70% on the table.”
Software that keeps track of your customers, leads, and deals in one place. ServiceTitan, Jobber, Dentrix, and HubSpot are all CRMs. The name makes it sound complicated. It’s a digital version of the Rolodex.
When your AI systems remember a customer across every way they contact you. They text Monday, call Tuesday, chat on the website Wednesday — and the AI remembers all three conversations. The customer never repeats themselves.
D
A sequence of pre-written messages sent on a schedule. Similar to a lead nurture sequence, but the term is broader — drip campaigns can target existing customers, cold leads, or past clients. The “drip” is the steady, timed cadence of outreach.
F
Tracking which marketing channel originally brought a customer to your business. Did they find you through Google Ads, a Google Maps search, a referral, or a social media post? Knowing this tells you where your marketing dollars are actually working.
G
Closely related to AEO. Specifically about making your business visible and recommended by AI-powered search engines that generate answers rather than listing links. The next frontier of “getting found online.”
Your business listing on Google — the box that shows up with your name, address, hours, phone number, and reviews when someone searches for you. This is the most important page on the internet for most local businesses. Not your website. This.
I
The automated follow-up sequence that turns completed work into collected payment. Reminders at 24 hours, 3 days, 7 days, and escalating from there. Revenue you’ve already earned, systematically collected.
K
The repository of information your AI draws from to answer questions. Your services, pricing, FAQs, service area, policies. The more complete your knowledge base, the smarter your AI.
L
A person or business that has expressed interest in your services but hasn’t yet become a paying customer. Could be a phone call, a form submission, a chat conversation, or a text message. Not all leads are equal — that’s what qualification is for.
A series of follow-up messages (text or email) sent automatically after someone inquires about your services but doesn’t immediately book. Timed to keep you top-of-mind without being pushy.
The top 3 Google Maps results that appear when someone searches for a local service. Getting into the local pack is the single highest-impact SEO goal for most service businesses — it’s where 42% of searchers click.
M
A system that someone else builds, monitors, and optimizes for you — as opposed to a DIY platform where you get a login and figure it out yourself. The difference between owning a tool and having a working system.
The percentage of inbound calls your business doesn’t answer. Industry averages range from 15% to 35% during business hours — and climb much higher after hours. Most businesses don’t track this number, which is why the revenue leak goes unnoticed.
When someone calls and doesn’t get through, a text is automatically sent to their phone within 60 seconds. The conversation continues via text instead of disappearing into voicemail.
N
The percentage of booked appointments where the customer doesn’t show up. Service businesses without automated reminder systems typically see no-show rates of 10–20%. Structured reminders cut that by 30–60%.
O
The customer’s explicit permission to receive text messages from your business. Required by federal law before you send any marketing or transactional SMS. Legitimate systems handle opt-in capture automatically during booking and intake.
P
When a customer texts a photo of their problem (a leaking pipe, a damaged roof, a cracked tooth), AI analyzes the image, assesses urgency, and routes the job to the right person with context — before anyone on your team has to look at it.
A visual representation of where every lead and deal stands in your sales process. From “new inquiry” to “estimate sent” to “job completed” to “payment collected.” If you can see the whole pipeline, you can see where things stall.
R
An automated outreach to past customers reminding them it’s time for their next service. HVAC tune-ups, dental cleanings, seasonal landscaping. The system knows who’s due and reaches out at the right time.
How quickly your business responds to an inquiry. Industry data shows that leads contacted within 5 minutes convert at 21× the rate of leads contacted after 30 minutes. Speed is the single biggest factor in lead conversion.
Revenue your business should be earning but isn’t — because of missed calls, slow follow-up, uncollected invoices, thin reviews, or customers who never came back. Most businesses have multiple leaks running simultaneously without knowing it.
The system that sends a review request to your customer after a job is completed — at the moment they’re most satisfied. Includes a direct link so leaving a review takes one tap.
How fast your business accumulates new reviews. Google’s local algorithm weighs recent reviews more heavily than old ones. A business adding 15 reviews per month outranks a competitor with more total reviews but no recent activity.
S
Code on your website that helps search engines (and AI systems) understand what your business does, where it’s located, what services you offer, and what your customers say about you. Invisible to visitors. Essential for search visibility.
Federal rules governing when and how businesses can send text messages to customers. Includes opt-in requirements, quiet hours, and one-tap unsubscribe. Legitimate systems handle this automatically — if yours doesn’t, that’s a problem.
The exhaustion that comes from buying, learning, configuring, and managing too many software platforms — each with its own login, its own learning curve, and its own monthly bill. Common in HVAC, plumbing, and electrical trades where multiple tools compete for attention. The symptom: six platforms open, none fully configured, all underperforming. The cause: tools were designed to be sold, not to be run.
Read the full guide →How fast you respond to a new inquiry. Research shows responding within 5 minutes makes you 21× more likely to convert the lead than waiting 30 minutes. Most businesses respond in hours — or days.
T
When a customer can schedule an appointment entirely through a text conversation — no phone call, no website, no app download needed. They text your number, the AI confirms service type, date, and time, and the appointment lands in your calendar.
The dollar amount of a single job or service call. Also called “average job value.” Knowing your average ticket value is essential for calculating the cost of missed opportunities — one missed $1,200 HVAC call costs more than six missed $200 faucet repairs.
V
The percentage of callers who reach voicemail and hang up without leaving a message. Industry average: 85%. This is why “they can just leave a message” isn’t a lead capture strategy.
W
When a call is transferred to a human with full context about who’s calling and why — as opposed to a cold transfer where the customer has to repeat everything. AI voice agents that do warm transfers reduce call handling time and improve customer experience.
Any business process that runs automatically based on a trigger. “Job completed” triggers an invoice. “Invoice unpaid at 3 days” triggers a reminder. “Customer hasn’t visited in 6 months” triggers a recall campaign. The building blocks of a system that runs without you.
Z
When a search engine answers the user’s question directly in the results — without the user clicking any website. Google’s AI Overviews and featured snippets are zero-click results. For local businesses, this means your Google Business Profile and review signals matter more than your website content.
